Cancellation & Reschedule Policy

72+ Hours Before Appointment

Full refund or free reschedule with no penalty.

Less Than 72 Hours or No-Show

Appointment fee is non-refundable. Payment is forfeited.

Note: Our cancellation window is 72 hours. To cancel or reschedule, contact us as soon as possible via phone or email.

Payment & Fees

Secure Online Payment

Payment is processed securely through our Jane appointment system. You'll receive a receipt immediately after booking.

HST Applied

All prices shown are before Harmonized Sales Tax (HST) is applied at checkout. Your final amount will include applicable HST.

  • • Aviation Medical Exam: $325 + HST = Total with tax
  • • Audiogram (if required): $50 + HST = Total with tax

Receipt & Invoice

A detailed receipt will be emailed to you after your appointment. This can be used for insurance or personal records.

Appointment Policy

Duration

Standard aviation medical exams are 60 minutes. Additional time may be needed for complex cases.

Late Arrival

If you arrive more than 15 minutes late without prior notice, we may need to reschedule your appointment to ensure quality care.

Required Documentation

Your appointment cannot proceed without:

  • • Valid photo ID
  • • Completed intake forms
  • • Required test results (ECG, audiogram)

Test & Exam Requirements

ECG Results

If an ECG is required:

  • • Must be completed 7+ business days before appointment
  • • Results must be faxed directly to us at 1-613-702-7477
  • • If results are not received before appointment, your medical booklet cannot be stamped

Audiogram

If an audiogram is required by your Transport Canada category, we offer this service. Confirm whether this will be added to your appointment when booking.

Medical Booklet Stamping

Your medical booklet can only be stamped if all required tests are completed and approved. If any tests are missing or results are pending, your booklet cannot be stamped until those results are received and reviewed.

Additional Fees

Re-opening Closed File: $125 + HST

If Transport Canada closes your medical file and you later need it reopened, a re-opening fee applies.

Example: If your exam was approved, Transport Canada issued your medical booklet, and later you need the file reopened for additional testing or review, this fee would apply.

Privacy & Forms

Medical Information Collection

We do not collect sensitive medical information through this website. Instead:

  • • You provide your medical history during your appointment
  • • Intake forms are completed via secure Jane portal
  • • All information is handled according to privacy regulations

Intake & Consent Forms

After booking, Jane will send you intake and consent forms to complete digitally. These forms are required before your appointment.

Transport Canada Compliance

Our exams follow Transport Canada aviation medical standards and regulations. Your medical file is managed according to Transport Canada requirements.

Frequently Asked Questions

How long does the exam take?

Most exams take approximately 60 minutes. Complex cases or additional testing may take longer.

When will I get my medical booklet?

If your exam is approved with no additional requirements, your booklet will be stamped at your appointment. If tests are pending, it will be mailed once results are reviewed and approved.

What if I have a complex medical history?

Please email us your specialist reports in a single PDF at least 1 week before your appointment. We'll review in advance to ensure we have all the information needed.

Can I reschedule after booking?

Yes, but reschedules must be requested at least 72 hours in advance for a full refund. Otherwise, payment is non-refundable.

Is my medical information secure?

Yes. We use secure, encrypted systems for all patient data. Your medical information is handled according to privacy laws and regulations.

What if I'm not approved?

If medical issues are identified, we'll provide a detailed report. You can appeal to Transport Canada or seek additional medical evaluation as needed.
